THE TOPIC TODAY IS THE RECENT ANNOUNCEMENT WITH SPECIFIC FOCUS ON THE FACULTY SUPERVISION STRUCTURE AND THE SCHEDULING TEAM.

BEFORE WE BEGIN, I WOULD LIKE TO INVITE OUR PROVOST DR. FLOYD.

I'M EXCITED FOR YOU TO HEAR THE ORGANIZATIONAL STRUCTURE.

WE SPENT AN AMOUNT OF TIME VISIONING ON THEIR OWN WITH COLLEAGUES FROM THE REST OF ACADEMIC AFFAIRS, WORKFORCE AND ADVANCEMENT AND STUDENT SUCCESS TO ENSURE WE ALIGN OUR STRUCTURES TO BEST SUPPORT OUR STUDENTS NEEDS.

LAST WEEK, WE POSTED POSITIONS FOR THE DEAN OF ACADEMIC AFFAIRS.

TODAY'S SESSION WILL PROVIDE MORE DETAIL ON HOW THESE ROLES WITHIN THE FRAMEWORK OF ACADEMIC AFFAIRS ORGANIZATIONAL STRUCTURE WILL WORK.

IN TIMES OF SELECTING WHO WILL APPLY FOR THE POSITION, I WILL ENSURE THAT FACULTY WILL BE ENGAGED IN THE PROCESS.

AFTER THE INITIAL SCREENING FOR MINIMUM QUALIFICATIONS, FACULTY WILL BE ESSENTIAL IN THE SELECTION PROCESS.

DALLAS COLLEGE IS ONLY 4Â MONTHS OLD; IT IS NECESSARY FOR US TO ALIGN THE HIRING PRACTICES WITH THE NEW ORGANIZATIONAL STRUCTURE.

AS WE BEGIN TO FORM SEARCH COMMITTEES, KNOW THAT FACULTY WILL BE ENGAGED BASED ON THEIR SCHOOL AFFILIATION NOT THEIR CAMPUS.

IT IS CRITICAL THAT WE BECOME FOCUS ON OUR ALIGNMENT BY SCHOOL AND DISCIPLINE AND NOT CAMPUS LOCATION.

TO THAT END, THERE WILL BE 7 SEARCH COMMITTEES.

ONE FOR EACH SCHOOL.

COMPRISED OF TWO TO FOUR FACULTY MEMBERS PER SCHOOL AND EQUAL AMOUNT OF STAFF AND REPRESENTATIVES, THESE COMMITTEES WILL REVIEW THE CANDIDATES EXPRESSION OF INTEREST.

WE ARE EXCITED THAT FACULTY WILL HAVE A MEANINGFUL VOICE IN THIS PROCESS.

YOUR GUYS' PROVOST WILL REACH OUT TO YOU SHORTLY ON HOW FACULTY MEMBERS CAN GET INVOLVED.

IN THE MEANTIME, THE TOWN HALL WILL ADDRESS QUESTIONS ON THE STRUCTURE.

WE WILL SPEND THE BULK OF THE TIME TALKING ABOUT REORGANIZATION, THE ROLES OF THE DEANS AND THE CHAIRS AND WE'RE GOING TO BE ANSWERING QUESTIONS THAT WERE SUBMITTED BY FACULTY.

NOW, DR. FLOYD SUBMITTED AN ANNOUNCEMENT A FEW WEEKS AGO WHEN THAT HAPPENED WE WE SELECTED QUESTIONS EARLIER SO THERE WILL NOT BE LIVE QUESTIONS COMING THROUGH THE SWAGIT STREAM SINCE PEOPLE HAVE BEEN ASKING THAT ON EMAIL THROUGH THE PROGRAM ON A THE LAST COUPLE OF DAYS.

WITH THAT, I WILL TURN IT OVER TO DR. FLOYD TO TALK ABOUT THE ORGANIZATIONAL STRUCTURE THAT WE TALKED ABOUT AND THEN WE WILL START WITH THE QUESTIONS.

IT IS ENROLLED AND I WILL APOLOGIZE IN ADVANCE AND DR. CROSS IS TRYING TO JOIN US.

I DON'T WANT TO BELIEVE THAT THE SCHOOL MEMBERS BELIEVE THAT HE'S NOT HERE.

WE'RE HAVING TECHNICAL DIFFICULTIES.

DEPARTMENT CHAIR TO ENROLL AND WE'RE EXCITED ABOUT IT.

THIS ROLE IS TOWARDS FACULTY.

THESE INDIVIDUALS WILL EVALUATE FACULTY, ASSIGN THEM TO COURSES AND SCHEDULE.

PROVIDE MENTORSHIP AND COACHING ROLE.

THIS ROLE WILL BE WITH  WE FELT IT WAS IMPORTANT IN CREATING THIS NEW STRUCTURE THAT WE HAVE PEOPLE THAT UNDERSTOOD FACULTY, FORMER FACULTY MEMBERS TO BE ENGAGED WITH THEM AT THIS LEVEL AS THEY'RE PROVIDING SUPPORT FOR THEM THROUGH THE JOURNEY IN DALLAS COLLEGE.

IN THE FUTURE, THIS WILL BE THE ONLY POSITION WITHIN DALLAS COLLEGE.

WE WILL NOT HAVE FACULTY SUPERVISION THROUGH COORDINATORS AND SUPERVISED TIME.

THIS DOES NOT RULE OUT THE POSSIBILITY THAT FACULTY MEMBERS WILL RECEIVE REASSIGNED TIME CASE BY CASE BASIS.

WE WILL GO THROUGH THE HIRING PROCESS IN A BIT MORE DETAIL SHORTLY.

KNOW THAT THE DEPARTMENT CHAIR WILL OVERSEE FACULTY MEMBERS OF A SIMILAR DISCIPLINE OR THEY WILL BE SOMEONE WITH EXPERIENCE ADJACENT TO THAT TEACHING

NOW, YOU WILL SEE THE DEPARTMENT CHAIRS REPORT TO THE DEAN OF ACADEMIC AFFAIRS WHO REPORTS TO THE VICE PROVOST TO THE RELEVANT SCHOOL.

THE DEAN OF ACADEMIC AFFAIRS POSITION IS HIGHLY EXCITING AND STRATEGIC.

IT IS GOING TO LOOK DIFFERENT THAN THE ACADEMIC TEAMS WE HAD IN THE PAST AND THEY WILL SEE THE DEPARTMENT'S CHAIR RESPONSIBLE FOR DIFFERENT DISCIPLINES.

AGAIN, THEY WILL NOT SUPERVISE FACULTY MEMBERS.

THE DEAN'S GOAL IS ORIENTED TOWARDS FURTHERING THE PROGRAM AND THEY WORK WITH EXTERNAL PARTNERS AND THE COMMUNITY.

THEY WILL SUPPORT THE VICE PROVOST IN COORDINATING WITH THE ORGANIZATION IN DALLAS COLLEGE AND WORK WITH TEAM MEMBERS AND PARTNERS AND WORKFORCE AND ADVANCEMENT AND STUDENT SUCCESS.

THE DEAN WILL BE INTERFACING MORE AND MORE WITH THE COMMUNITY.

IN ADDITION TO DEPARTMENT CHAIRS, THE DEANS WILL OVERSEE LATIN MANAGEMENT, GALLERIES AND CENTERS OF EXCELLENCE THAT ARE SPECIFIC TO THE DISCIPLINE.

I WILL TURN IT OVER TO MIKE AND HE WILL TALK ABOUT THE SCHEDULE.

I'M EXCITED TO TELL YOU ABOUT THE NEW SCHEDULING PROCESS.

AS YOU CAN SEE, ON THE GRAPHIC THAT'S ON THE SCREEN THERE.

WE HAVE ASSEMBLED DEDICATING SCHEDULING TEAM.

EXCITING PART OF THIS SCHEDULING TEAM THAT IS SCHOOL SPECIFIC.

SO EACH OF THE 7 SCHOOLS WILL HAVE A DEDICATED TEAM AND THAT TEAM CONSISTS OF AT LEAST THREE INDIVIDUALS WHO ARE VERY IMPORTANT TO THE PROCESS.

YOU CAN SEE THE DESCRIPTION OF THOSE JOB FUNCTIONS THERE ON THE SCREEN.

EACH TEAM WILL HAVE  SO EACH SCHOOL WILL HAVE A SCHEDULING COORDINATOR WHO WILL WORK WITH THE DEPARTMENT CHAIR TO WORK WITH THE FACULTY TO CREATE THE SCHEDULE AND MAKE THOSE ASSIGNMENTS.

EACH TEAM WILL HAVE A SCHEDULE BUILDER AND SOMEONE WHO IS A CONTRACT SPECIALISTS THAT WILL TAKE CARE OF THE INPUT OF THE SCHEDULE, ROOMS ASSIGNED AND ALSO GENERATE FACULTY CONTRACTS.

THEN, A THIRD MEMBER OF THOSE TEAMS WILL BE SOMEONE WHO TAKES CARE OF DATA ENTRY AND BOOK INPUTTING.

WE ALL KNOW WHAT A CRITICAL PIECE OF THE PICTURE THAT IS.

THEY WILL COORDINATE WITH THE DEPARTMENT CHAIRS AND THE FACULTY TO MANAGE THAT WHOLE BOOK AND LEARNING MATERIALS, ORDERING PROCESS.

IT IS WORTH NOTING TOO.

THE WHOLE INCLUDE ED AREA IS ALSO INCLUDED IN THIS NEW ACADEMIC SCHEDULING AREA.

WE HAVE A NEW DIRECTOR, NICOLE, WHO IS IN CHARGE OF THAT.

WE ARE EXCITED ABOUT THIS.

ONE OF THE EXCITING THINGS  A COUPLE OF THINGS TO NOTE.

AGAIN, THERE'S ONE PER SCHOOL.

AS YOU ALL KNOW, AS WELL AS I DID, WHEN YOU TALK ABOUT THE DIFFERENT SCHOOLS AND THE DIFFERENT DISCIPLINES THERE'S A LOT OF NUANCES THAT DIFFERENTIATE THE SCHEDULING PROCESS AND THE CREATION OF CONTRACTS.

THOSE THINGS CAN BE VERY SPECIFIC ACCORDING TO DISCIPLINE.

IT IS EXCITING THAT WE DECIDED TO INVEST A TEAM PER SCHOOL.

THE OTHER PART OF THIS TOO, IN NO WAY TAKES AWAY THE HUMAN IMPACT HERE.

WE STILL ARE GOING TO HAVE THIS GROUP OF PEOPLE WHO ARE GOING TO BE WORKING WITH OUR FACULTY.

WE WILL CONTINUE TO EXPRESS THEIR PREFERENCES AND HAVE THOSE CONVERSATIONS WITH THE DEPARTMENT CHAIRS SO ALL OF THE CRITICAL VOICES ARE IN THE ROOM WHEN THIS SCHEDULING IS TAKING PLACE.

I'M REALLY EXCITED.

I THINK IT IS GOING TO BE A GREAT SYSTEM, A GREAT WAY FOR US TO WORK TOGETHER TO

WE WORKED OFF OF ROLLOVER AND WORK ON THE BACK END TO MODIFY THE SCHEDULE ON SHIFTS AND FACULTY MEMBERS LIVES.

WE ARE SUBJECT TO CHANGE OUR MIND.

WE WILL TAKE THOSE PREFERENCES IN ADVANCE TO PUT IN SCHEDULE AHEAD OF TIME AND WORK ON THE BACK END  THEY SHOULD LOOK AT THOSE BEFORE EACH TERM.

OTHER INDICATORS LIKE THE STUDENT PREFERENCE SURVEY, JUST LIKE A PREFERENCE SURVEY ON FACULTY WHAT THEY WANT TO TEACH.

WE WILL BE MONITORING THE STUDENTS ON WHAT COURSES THEY WOULD LIKE TO TAKE.

WE WILL REVIEWING DATA SO WE CAN MAKE DATA INFORMED DECISIONS AND LOOKING AT STUDENT POPULATION ANALYSIS AND ENROLLMENT AND SPECIFIC FIELDS OF STUDY, CERTIFICATE PROGRAMS. ALSO, LIVE INPUTS.

WE HAVE EXCITED AREAS THAT WE CREATED FROM DALLAS COLLEGE.

SO WE WILL BE LOOKING FOR PLACES LIKE THE INCUBATOR TO INFORM THE COURSE SCHEDULE.

LIVE TIMES SO THAT WE CAN BE RESPONSIVE TO NOT ONLY THE STUDENTS NEEDS BUT THE COMMUNITY AND EMPLOYER NEEDS.

THE SCHEDULING PROCESS, OPPORTUNITIES FOR THE FACULTY TO ENGAGE WITH THE DEPARTMENT CHAIR AS WELL AS DEANS AND THEY WILL BE ABLE TO PROVIDE CRUCIAL INPUTS TO THE SCHEDULE AS BEING CREATED.

THEY'RE GOING TO BE COORDINATED WITH THE SCHEDULING TEAM THAT WILL RESOLVE ISSUES THAT MIGHT COME UP.

CERTAINLY, THE FACULTY WE ALL KNOW THIS.

SOME OF THE THINGS GO TO THE FACULTY AND WE WANT TO MAKE IT AS EASY AS POSSIBLE FOR THE FACULTY TO HAVE A PLACE AND WAY A TO GET THAT NEED  STUDENT NEED ALONG TO THIS GROUP.
